Business enquiries and pilot materials

This notice is deliberately narrow: Aventoza currently uses email and agreed project files, not customer accounts, advertising trackers or automated decision-making.

What we may receive

Aventoza may process ordinary business contact details needed for an enquiry, quote and invoice. The current Spreadsheet Rescue and Technical Document Rescue pilots do not accept project files containing personal data or special-category data. If a file cannot be effectively anonymised before transfer, the pilot is refused. Do not send passwords, payment-card data, medical records, employee files, government identifiers or unredacted consumer information.

Purposes and legal bases

  • Answering an enquiry, preparing a quote and agreeing scope: steps before a contract.
  • Delivering an accepted pilot and handling corrections: performance of the agreement.
  • Invoices and core business administration: legal obligations.
  • Security, dispute handling and limited one-to-one B2B follow-up where legally permitted: legitimate interests, balanced against the recipient’s rights. Every marketing objection is honoured.
  • Optional newsletters or broader marketing: consent where required; none is currently operated.

Concrete retention

  • Enquiries that do not become projects: deleted within six months after the last meaningful contact.
  • Source files, working copies and delivered project files: deleted within seven calendar days after written acceptance, or fourteen calendar days after delivery when no acceptance response is received, unless a shorter written period is agreed.
  • Quotes, contracts, invoices and necessary accounting records: normally seven years under Dutch tax record-keeping duties; a longer statutory period applies only where legally required.
  • A minimal do-not-contact record may be kept as long as reasonably needed to respect an objection.

Recipients and international processing

The website host, email provider and essential file-processing providers may process the minimum technical or project information needed to provide their service. Aventoza does not sell personal information. If a provider processes ordinary business contact information outside the European Economic Area, its published transfer safeguards and terms apply.

Your rights and complaints

You may request access, correction, deletion, restriction, portability where applicable, or object to processing based on legitimate interests. You may withdraw consent without affecting earlier lawful use. Email the address above; identity may be verified proportionately. You may also complain to the Dutch Data Protection Authority.

Customer responsibility

The customer must remove personal and sensitive data before any project file is transferred. Aventoza refuses or stops the pilot when such data remains or when the material falls outside the agreed scope. This notice does not certify a customer’s own compliance.
